Professional invoices for fitness coaching and training clients.
Training invoices may include session packages, assessments, virtual coaching, nutrition consults, memberships, and cancellation fees.
Personal trainers can invoice clients professionally while tracking recurring packages and add-on services.
Personal training is usually sold in blocks and delivered over weeks, so the invoice covers sessions that have not happened yet. That is the opposite of most service billing and it creates obligations: the client has paid for something you still owe them.
Almost every dispute in the sector comes from the same two places, cancellations and expiry, and both are settled by what the invoice says rather than by what was discussed at the first session.
| Invoice line item | Description | Example amount |
|---|---|---|
| Training session package | Eight personal training sessions. | $560.00 |
| Fitness assessment | Initial assessment and goal planning session. | $85.00 |
| Nutrition consult | One-on-one nutrition coaching session. | $120.00 |
| Virtual coaching plan | Monthly remote coaching and program updates. | $250.00 |
| Late cancellation fee | Approved cancellation fee according to policy. | $40.00 |
Put the expiry date on the invoice, not just in the terms. Blocks of sessions sold without a deadline become an open-ended liability, and clients return after a year expecting sessions at a rate you no longer charge.
State the cancellation notice in the same place. Late cancellations are the recurring friction in personal training, and a policy visible on the document the client keeps is enforced far more easily than one mentioned once.
Bill programme design and assessments separately from sessions. They are real work, they happen away from the client, and folding them into the session rate makes them invisible and unpaid.
Unused sessions with no deadline are an indefinite liability at an outdated rate.
A policy the client never received in writing is one you will not enforce.
Planning and assessment work absorbed into the session rate is work you are giving away.
Clients lose track, and disagreements about the balance are awkward to resolve without a record.
